The admissions secretary performs a variety of secretarial duties such as answering incoming calls, taking and disseminating messages, processing documents and records, and enter/ compile data for various reports.

Main tasks amongst others will be:

  • Responsible for front desk duties to include, registration, scheduling, documentation and payment processes
  • Registration, enrolment and school leaving handling of leaners
  • Provides intensive and extensive data entry for all student records incl. study permits
  • First point of contact for parents (kindergarten, primary school and learner intake in grade 5 for both streams, the German language stream and the English stream)
  • Confirms appointments and schedules for Admissions Department
  • Responsible for learner statistics and regular reporting
  • Visitor tours, active participation in parent information evenings (gr. 1, gr5) and information days eg. ‘Open Day’

Requirements:

  • High school graduation or equivalent
  • 3- 5 years of previous administrative /assistant positions
  • Bilingual (German and English) absolutely necessary, other languages advantageous
  • Good organisational skills with strong attention to detail and accuracy
  • Proficient in MS Outlook, Excel and Word.

The German International School Cape Town is looking for a full-time Administrative Assistant for the Maintenance team as from 01.05.2018

The primary purpose of this position is to provide administrative support to the Maintenance & Facility Coordinator and Health & Safety Manager.

Main tasks amongst others will be:

  • Daily administrative support of the maintenance team
  • Quote handling and follow up – cooperation with Finance department
  • Assessment, development and implementation of various emergency and safety procedures
  • Assist in compliance reviews, general risk assessments and other safety assessments to support Health Safety and Environmental management.
  • Training schedule for SHE Reps, employees and other relevant Health & Safety functions
  • Administrative handling of contractors
  • Manage and monitor time entries for employees, time off and leave requests and prepare documents for the monthly payroll.

Requirements:

  • High School diploma or equivalent required
  • 3- 5 years of previous administrative /assistant positions
  • Work experience in / or with the South African Health & Safety Act (Committees, OHS Act, City Council) required
  • Proficient in MS Outlook, Excel and Word.
